Our Approach

• We protect information within our own work. In our projects and engagements, we take reasonable administrative, technical, and organizational measures to safeguard the information you entrust to us.
• We cannot extend those protections to third-party platforms. If you (or your team) choose to use tools such as ChatGPT, Claude, Notion, Google (including Google Drive), or any other AI tools or third-party platforms, your use is governed by their privacy policies and terms, not ours.
• We recommend independent review. We encourage clients to review third-party privacy policies and terms directly and to make intentional choices about what is appropriate to share, store, or process in those environments.

Information We Collect

We collect only what we need to communicate with you, deliver services, and fulfill our obligations.

A. Information You Provide

• Contact details: name and email address (and, if you choose, phone number).
• Organizational information: company or organization name, role or title, and limited context needed to scope and deliver the engagement.
• Billing details: billing contact information and transaction-related details (payments are processed by secure third-party payment processors; we do not store full payment card numbers).

B. Engagement and Project Information

When we are actively working together, you may share information that supports delivery of the engagement, such as frameworks, methodologies, language, and working documents; operational maps, SOPs, playbooks, prompt libraries, and knowledge repositories; and notes, decisions, and materials created collaboratively during calls, workshops, audits, or reviews. We treat this information as confidential engagement material and handle it with care inside our project work.

C. Limited Technical Data

When you visit the Site, some information may be collected automatically, such as IP address, device or browser type, and general usage data (for example, which pages are visited). We do not seek to collect more than is reasonably necessary to operate and improve the Site.

How We Use Your Information

A. Our Responsibility

Within our own operations, we take reasonable measures to safeguard client information and limit access to those who need it for service delivery.

If you choose to use third-party platforms, including but not limited to ChatGPT, Claude, Notion, Google, email providers, cloud storage, transcription tools, project management systems, or any other AI or productivity platforms, please understand that those platforms have their own privacy policies, terms of service, and data practices. IP Stewardship Lab does not control how those third parties collect, use, train on, retain, share, or secure data submitted to them. We cannot and do not extend our protections to data once it is entered into or processed by third-party platforms. Your use of those tools is a decision made by you or your organization, and we recommend you assess them as part of your internal risk and governance practices.

C. Our Recommendation

• Review the privacy policies and terms for each third-party tool your organization uses.
• Configure privacy and security settings intentionally (for example, access controls, sharing permissions, retention settings).
• Avoid submitting highly sensitive or confidential information into third-party AI tools unless you have reviewed and accepted the provider’s terms and the risk posture is appropriate for your context.

Do We Sell Your Information?

No. We do not sell, rent, or trade personal information. We may share information with service providers only to the extent necessary to operate our business and deliver services (for example, website hosting, scheduling, email, payments, or project delivery systems). When we do, we share the minimum necessary and rely on reputable providers. Each provider’s handling of data is governed by their own terms and policies.

Data Retention

We retain personal and engagement information only as long as needed to deliver the engagement, maintain appropriate business records, comply with legal, tax, or accounting obligations, and resolve disputes or enforce agreements.
